When a customer wants to reach a dealer, WhatsApp is often the first channel they try. Despite this, WhatsApp in dealer networks usually runs on personal phones — unrecorded and unmeasurable.
Why a personal number does not scale
A conversation running on a sales consultant's personal phone leaves with that person when they resign. Headquarters cannot see which questions arrive, how quickly they are answered, or whether some messages go unanswered at all. It is inconsistent for the customer too: two dealers of the same brand deliver entirely different service experiences.
What a business account requires
To use WhatsApp as a business channel, the dealer needs to connect their own WhatsApp Business account. The number belongs to that dealer; headquarters' number is not used. This is the right setup both for legal responsibility and for customer expectation: the customer should know they are talking to their own dealer.
In DealerBot the dealer sets up this connection from their own panel and can then read and reply to incoming customer messages there. The conversation stays in the dealer's record rather than being tied to a personal phone.
What the platform's rules dictate
WhatsApp does not let businesses send whatever they want whenever they want. After a customer messages you there is a period in which you can reply freely; once that window closes, contact can only be made through pre-approved message templates. This rule also covers bulk sending for marketing purposes.
Planning WhatsApp as an announcement channel is therefore a mistake. Its real value is being able to answer quickly and on the record when the customer reaches out to you.
Where to start
Opening WhatsApp to the entire network at once leads to unanswered messages piling up at unprepared dealers — a worse customer experience than not opening it at all. Starting gradually keeps both the workload and the expectation manageable.
- Start with a few dealers as a pilot; do not open it to the whole network at once.
- Set a clear expectation for response time and measure it.
- Prepare shared answer language for frequent questions so each dealer does not invent their own tone.
- If you drive traffic from ads to WhatsApp, decide in advance who will handle the incoming volume.
